A faster way to create waste records. No weighbridge needed.

WasteBolt Gate is a smarter intake workflow for waste receiving sites. Log loads at the gate, upload paper WTNs with AI, or import your weighbridge CSV — then let import templates auto-create compliant WTNs and consignment notes.

The problem

Creating WTNs manually is slow, error-prone, and scales badly.

Most receiving sites key the same producer details into a new WTN for every load — or lose paper notes before they're ever entered. Small operators without a weighbridge have no good way to capture records digitally at all. And when DWT reporting becomes mandatory, every unrecorded load becomes a compliance liability.

How it works

From load arrival to completed WTN — in four steps.

Every record, however it enters Gate, follows the same structured path — staging, template matching, WTN creation, and optionally DWT submission.

01

Get records into Gate — three ways

Log a load manually at the gatehouse, snap a photo of a paper WTN for AI extraction with Bolt Upload, or bulk-import a weighbridge CSV. Every method feeds the same staging queue so your workflow is consistent regardless of how the record arrived.

02

Staging queue — review before committing

Every incoming record lands in the staging queue first. DWT readiness is shown at a glance — green means ready, amber means warnings to check, red means errors to fix. Nothing becomes a WTN until you're happy with it. No accidental records, no compliance surprises.

03

Import Templates auto-match and fill

Create import templates that match incoming records by producer name, EWC code, or any field you define. When a match is found, the template fills in producer details, carrier, waste codes, recovery method, and hazardous or POPs data automatically. Set it up once — it runs for every matching load.

04

WTN or Consignment Note created instantly

Approve a staged record and a complete, legally-formatted Waste Transfer Note or Consignment Note is created in seconds. All parties, waste details, and signatures ready to share or submit. If you use Digital Waste Tracking, records flow straight into your DWT queue — from gate arrival to Defra in one workflow.

+

DWT Submission to Defra

Optional

For sites set up for Digital Waste Tracking, records created through Gate feed directly into your DWT submissions queue. Submit manually or enable Auto-Submit to send ready records to Defra on a nightly schedule.

Three ways in

Choose what fits your operation.

Every input method feeds the same staging queue, so your review and template-matching workflow is identical regardless of how the record arrived.

  • Ideal for small operators
Import from CSV
Bulk

Upload your weighbridge export file. Map your columns to WasteBolt fields once using Import Templates and Gate handles the rest — batch-importing hundreds of records in seconds.

Everything included

Built for waste receiving sites of every size.

AI upload for paper WTNs

Receive paper or emailed WTNs? Bolt Upload reads them with AI — extracting producer, carrier, waste codes and weights automatically. No manual re-keying, no lost paperwork.

Auto-matching templates

Import Templates match loads to the right template the moment they arrive. Repeat producers and waste types fill in automatically — ideal for sites receiving the same loads week after week.

DWT readiness at a glance

The staging queue shows a readiness badge per record — errors, warnings and passes — so you know exactly what needs attention before it becomes a WTN.

No weighbridge required

Log New Load works for any operation. Enter vehicle reg, producer, waste type and weights manually in under a minute. Small sites get the same structured intake as large facilities.

Full hazardous and POPs support

Templates carry HP codes, hazardous determination, special handling requirements and POPs component data. Gate handles consignment notes for hazardous loads with the same workflow.

Feeds directly into DWT

If you're set up for Digital Waste Tracking, records created through Gate appear in your DWT submissions queue. Submit to Defra manually or enable Auto-Submit for nightly batch submission.

FAQ

Common questions about Gate.

No. Gate has three input methods — Log New Load (manual entry), Bolt Upload (AI extraction from photos or PDFs), and CSV Import (weighbridge exports). Small sites with no weighbridge can use manual logging or Bolt Upload just as effectively as large sites.

Bolt Upload lets you photograph or upload a PDF of a paper or emailed WTN. WasteBolt's AI reads the document and extracts key details — producer name, carrier, EWC code, waste description, weights, vehicle registration — and pre-fills a staging record. You review, adjust if needed, and approve.

Import Templates are matching rules that link incoming records to a predefined set of producer, carrier, waste, and consignee details. You define the rule — for example "company_name contains Smith Recycling" — and whenever a matching record arrives in staging, the template fills in all the associated details automatically. Most sites need 5–20 templates to cover their regular producers.

Yes — WasteBolt Gate is part of the standard WasteBolt platform at no extra charge. It's available to all admin accounts on any paid plan.

Yes. Records created through Gate feed directly into your DWT submissions queue. If you're set up for DWT with a Defra API key, you can submit records to the Defra registry manually from the submissions page, or enable Auto-Submit to send ready records automatically on a daily schedule.

Fully. Import Templates support HP codes, hazardous waste determination, special handling requirements, and POPs component data. Gate can create both standard Waste Transfer Notes and Consignment Notes for hazardous loads through the same staging workflow.
