What Is the WasteBolt Sync Agent?

The WasteBolt Sync Agent is a lightweight Windows desktop application that sits on your yard office computer and watches for new CSV files exported by your weighbridge software. When a new export appears, the Sync Agent picks it up automatically and imports the movement data into WasteBolt as dockets — no manual upload, no double entry, no one remembering to do it.

It is the fully automated version of WasteBolt's CSV import workflow. Where the manual Import Hub requires someone to upload a file, map the columns, and approve the batch, the Sync Agent handles all of that in the background, on a schedule, without any human intervention after the initial setup.

For high-throughput transfer stations and recyclers running weighbridge software that exports CSV — Loadmaster, RecyClass, Whitman, or any custom system — the Sync Agent turns a daily manual task into a zero-touch background process.


How It Works

1. Weighbridge software exports a CSV Your existing weighbridge software produces a CSV export of the day's movements — either automatically on a schedule, or when triggered by an end-of-day routine. The Sync Agent monitors the folder where these files appear.

2. Sync Agent detects the new file The Sync Agent runs continuously in the background on the yard computer. When it detects a new CSV file in the monitored folder, it picks it up immediately.

3. Column mapping applied automatically The first time a CSV from your weighbridge software is imported, you set up a column mapping template in WasteBolt's Import Hub — which column is the vehicle registration, which is the gross weight, which is the EWC code, and so on. The Sync Agent stores this template and applies it to every subsequent import automatically. You only map the columns once.

4. Dockets created in WasteBolt The Sync Agent submits the mapped data to WasteBolt via the API. WasteBolt creates docket records for each movement row in the CSV — complete with vehicle registration, weights, waste type, customer details, and EWC code from the mapping.

5. WTNs and DWT submissions generated From the dockets created by the Sync Agent, WasteBolt can generate WTNs and submit movements to the EA's Digital Waste Tracking platform. The import → compliance record chain is fully automated from weighbridge export to DWT submission.

The Sync Agent sits between the manual CSV import and WasteBolt Buddy's direct serial connection. Here is how the three routes compare:

If your weighbridge software already produces reliable CSV exports, the Sync Agent is the fastest route to a fully automated workflow. If you have a serial output indicator and no software layer, WasteBolt Buddy connects directly without needing CSV at all.


Setting Up the Sync Agent

Step 1 — Generate an API Key in WasteBolt

The Sync Agent authenticates with WasteBolt using an API key. To generate one:

  1. Go to Settings → Integrations in WasteBolt
  2. Scroll to the WasteBolt Sync Agent section
  3. Click Create API Key
  4. Give the key a descriptive name — for example "Yard Office PC" or "Loadmaster Export"
  5. Copy the full key immediately — it is shown once only and cannot be retrieved again

The key is in the format wbsync_ followed by 32 random alphanumeric characters. Store it somewhere secure before closing the modal — your password manager or a secure note.

Step 2 — Download and Install the Sync Agent

A download link for the Sync Agent installer is available on the Integrations page in WasteBolt. The application is a Windows executable (~22 MB) that installs on Windows 10 or above. No administrator privileges are required for installation on most systems.

Step 3 — Configure the Sync Agent

On first launch, the Sync Agent prompts for:

  • Your API key — paste the key you generated in Step 1
  • The folder to watch — the directory on the yard computer where your weighbridge software drops CSV exports. This is typically a configured export folder in Loadmaster, RecyClass, or your weighbridge management system.
  • How often to check — the polling interval. For most operations, checking every 5 minutes is sufficient. High-throughput sites may prefer every 1–2 minutes.

Once configured, the Sync Agent connects to WasteBolt and confirms the API key is valid. A green status indicator confirms it is connected and watching.

Step 4 — Set Up the Column Mapping Template

The first time the Sync Agent detects a CSV file, it sends it to WasteBolt's Import Hub for column mapping. Log into WasteBolt on any device, go to Import Hub, and you will see the pending import waiting for column mapping.

Map each column in your CSV to the corresponding WasteBolt field — vehicle registration, gross weight, tare weight, EWC code, customer name, and so on. WasteBolt's AI-assisted column mapper (Bolt Map Columns) suggests mappings automatically — you confirm or adjust them, then save the template.

From this point on, all future CSV files from the same weighbridge software use the saved template automatically. No further column mapping is needed.

Step 5 — Approve the First Import

After the column mapping is saved, review the first import in WasteBolt's Import Review screen. Check a sample of rows to confirm the data looks correct — weights are in the right fields, EWC codes are mapping correctly, customer names are matching your pick-list.

Once you are happy with the data, approve the import. Dockets are created for all rows. If the DWT credentials are configured in Settings → Integrations, WasteBolt automatically queues DWT submissions for each movement.

Subsequent imports are processed automatically — they go straight from CSV detection to docket creation without any review step unless you configure a review requirement.


Managing API Keys

The Integrations page shows all API keys you have created for the Sync Agent. For each key you can:

Enable or disable — temporarily deactivate a key without deleting it. Useful if a yard computer is offline for maintenance. Re-enabling the key resumes imports immediately.

Delete — permanently removes the key. The Sync Agent using that key will fail authentication and stop importing until a new key is configured in the app. Use the delete option if a key has been compromised or if you are decommissioning a yard computer.

Only the first 12 characters of each key (wbsync_XXXXXX...) are shown in the UI after creation — the full key is never displayed again. If you lose a key, delete it and create a new one, then update the Sync Agent configuration with the new key.


What Gets Created in WasteBolt

For each row in an imported CSV, the Sync Agent creates a docket record in WasteBolt containing:

  • Date and time of the weighbridge movement
  • Vehicle registration
  • Customer / producer name (matched to your pick-list where possible)
  • Waste type and EWC code (from the column mapping)
  • Gross, tare, and net weight
  • Docket number (auto-generated)
  • Source: flagged as a Sync Agent import

These dockets appear immediately in your WasteBolt Compliance Hub and in the report builder — searchable by date, customer, EWC code, or vehicle. They feed into your quarterly waste returns and Ask Bolt AI queries alongside your manually created WTNs and dockets.

From any Sync Agent docket, you can create a full WTN if required — the docket data pre-fills the WTN form, so the only fields left to complete are the carrier and consignee details and signatures.


DWT Submission from Sync Agent Imports

Once your DWT credentials are configured in WasteBolt, dockets created by the Sync Agent are automatically queued for DWT submission. Each submission returns a Waste Tracking ID from the EA platform, which is stored against the docket record.

This means a complete workflow — from the vehicle driving over the weighbridge to a compliant DWT submission — happens without any manual steps after the initial setup.


Frequently Asked Questions

Does the Sync Agent work with any weighbridge software? The Sync Agent works with any weighbridge software that produces CSV exports. Loadmaster, RecyClass, and Whitman are the most commonly used systems. If your software exports in a different format, contact the WasteBolt team — additional format support can be added.

Does the Sync Agent need internet access on the yard computer? Yes. The Sync Agent submits data to WasteBolt via the API, which requires an internet connection. Movements detected while offline are queued locally and submitted when connectivity is restored.

Can I run the Sync Agent on multiple yard computers? Yes. Create a separate API key for each computer and configure each Sync Agent installation with its own key. All imports appear in the same WasteBolt account regardless of which computer they came from.

What happens if the same CSV file is exported twice? The Sync Agent tracks which files have been processed using the file name and a hash of the content. Duplicate files are detected and skipped — movements are not imported twice.

What is the difference between the Sync Agent and WasteBolt Buddy? The Sync Agent automates the import of CSV exports from existing weighbridge software. Use Buddy if your site has a serial output indicator. Use the Sync Agent if your site runs Loadmaster, RecyClass, or similar software.
