How to Import Weighbridge Data into WasteBolt

The Import Hub lets you upload a CSV export from your weighbridge system and convert the records into WasteBolt waste movements. The process has three steps: upload your file, map your columns to WasteBolt fields, then review and stage the records before they become WTNs.

Stage and approve

Records are staged after Step 3 — they are not immediately turned into WTNs. A human review step (the Import Review queue) sits between staging and final WTN creation. This lets you catch errors, edit records, and approve only the records you want before they appear in your waste records.

Step 1: Upload Your CSV

Go to Import Hub

Navigate to Import Hub from the main menu, then click Import New Data.

Select a saved template (optional)

If you have saved column mapping templates from previous imports, they appear at the top of the upload screen. Selecting one before uploading means WasteBolt will automatically apply your saved column mappings when the file loads — no manual mapping needed for recurring imports.

Upload your CSV

Drag and drop your CSV file onto the upload area, or click to browse. WasteBolt accepts .csv and .txt files. Most weighbridge systems can export to CSV — check your system's export or reports section.

There is no required template or fixed column order. WasteBolt reads whatever columns your weighbridge software exports and lets you map them to the right fields.

Step 2: Map Your Columns

After uploading, WasteBolt shows you each column from your CSV with sample values from the first few rows. For each column, choose which WasteBolt field it maps to using the dropdown. Two fields are required; the rest are optional.

Auto-map with Bolt. Click Auto-map with Bolt and Bolt AI will analyse your column headers and suggest the best mappings automatically. You can review and adjust any suggestions before continuing. Uses 1 Bolt credit.

Weight unit

Tell WasteBolt whether the weights in your CSV are in kilograms or tonnes. WasteBolt stores all weights in kg internally and converts automatically.

Saving a mapping template

Once you have mapped your columns, click Save as New to save this mapping as a template. Next time you import from the same system, select the template on the upload screen and the mapping will be applied automatically.

You can mark a template as Default to have it pre-selected every time you open the import page. Templates can be updated, renamed, or deleted at any time.

Step 3: Review and Stage

Click ‘Preview Data’

Once all required fields are mapped, click Preview Data. WasteBolt applies your column mappings to every row and shows you a summary: total rows, valid rows, and any invalid rows (rows missing a company name or net weight).

Review and edit records

Expand any row to see all its mapped fields. If a row has an issue, you can edit it directly — fix the company name, correct the weight, or update any other field. Edited rows are re-validated automatically.

Select rows to import

Tick the rows you want to stage, or click Select All Valid to select everything without errors. The summary bar shows the total weight of your selection.

Click ‘Import N Rows’

Confirm the import. Your selected records are moved to the staging queue with status Staged. You are taken to the Import Review page automatically.

After Staging: Import Review

Staged records sit in the Import Review queue until you approve them. From there you can:

Review each record and approve individually or in bulk

Edit any field before it becomes a WTN

Approve records to convert them into WasteBolt waste movements

Delete records you do not want to import

Access the review queue at any time from Import Hub → Review Staged Imports. A badge on the card shows how many records are waiting.

Weighbridge Buddy: Auto-Processing (Beta)

Weighbridge Buddy Auto-Processing

Available to account admins. Automatically matches staged records against your import templates and creates WTNs on a daily schedule — no manual review required for matching records.

To enable auto-processing, go to Import Hub and scroll to the Weighbridge Buddy section. Configure two settings:

Run Time

Choose the hour (UTC) for the daily auto-run. Runs once per day at that time.

Confidence Threshold

Controls which matches are auto-approved: Any match, Exact rules only, or Proven templates (3+ successful uses).

You can also click Run Now to trigger a manual run at any time. The results show how many records were found, matched, skipped, and how many WTNs were created.

Weighbridge Buddy is in Beta. Records that do not meet the confidence threshold are left in the staging queue for manual review rather than auto-approved. Start with Any match while getting familiar with the feature, then tighten to Proven templates once your templates are well-established.
