Bolt Upload: Scan a Paper Waste Doc & Pre-fill a WTN with AI

Bolt Upload reads a photograph or PDF of a paper waste document — a WTN, weighbridge ticket, delivery note, or invoice — and pre-fills a new digital WTN with the extracted details. You review and save. No manual typing.

What Bolt Upload Can Read

Bolt can extract data from any waste-related document that contains the relevant fields:

Waste Transfer Notes

Paper WTNs with producer, carrier, consignee, EWC code, and quantity.

Weighbridge Tickets

Tickets showing net weight, gross, tare, vehicle reg, and docket number.

Delivery Notes

Delivery notes that include waste type, quantity, and site details.

Invoices with EWC Codes

Invoices from waste carriers or disposal sites that reference EWC codes.

Bolt tries to match producers, carriers, and vehicles to your saved pick lists automatically. Always review the extracted data before saving — AI is fast but not infallible.

How to Use Bolt Upload

Open Bolt Upload

In WasteBolt, go to Add Waste Movement and select Bolt Upload. You can also reach it from the main waste records menu.

Upload a file or take a photo

You have two options:

  • Upload a file — drag and drop or browse for a JPEG, PNG, WEBP, or PDF (up to 10 MB)
  • Take a photo — on mobile, tap “Take a Photo” to use your camera directly

For best results, ensure the document is well-lit, flat, and all text is legible. Photos taken straight-on work better than angled shots.

Wait for Bolt to read the document

Bolt sends the document to its AI extraction engine. This usually takes 5–15 seconds. You will see a processing screen while it works. Do not close the page.

Review the extracted data

Bolt shows you everything it found, organised into sections:

  • Producer — name, address, postcode, WML licence, SIC code
  • Carrier — name, carrier licence number, address
  • Consignee — receiving site name, address, licence number
  • Waste — EWC code, waste name, description, physical form, container type, recovery code
  • Transfer — vehicle registration, net weight, date, weighbridge docket, comments

Each extraction shows a confidence rating (high / medium / low). Low confidence on a field means Bolt was uncertain — check those fields carefully.

Click ‘Create WTN’

Tap Create WTN and WasteBolt opens the standard WTN creation form with all the extracted fields pre-filled. Review and edit anything before saving — the form works exactly like a normal WTN.

Tips for Best Results

Good lighting is the single biggest factor. A well-lit document in a clear photo extracts much better than a dark or blurry one.

If you have a PDF version of the document, uploading that directly gives better results than photographing a printout.

Make sure your pick lists are up to date — Bolt matches against your saved producers, carriers, and vehicles to fill in licence numbers and addresses automatically.

Bolt is designed for non-hazardous WTNs. For hazardous waste consignment notes, create these manually in the Consignment Notes section.

Always review the extracted data before saving. Bolt reads what is on the document — if the paper record has errors, those errors will carry through.
